When Construction Ends Up (ALMOST) in Court: The Story That Inspired Build Planner Pro

One of the biggest lessons I've learned in construction had nothing to do with framing, foundations, or finishing homes.
It had everything to do with documentation.
People often ask me why I created Build Planner Pro and why we invested so much time developing our Trade Tracker.
The answer goes back to one construction project that completely changed how I viewed project management forever.
It Started With Trust
This wasn't a subcontractor I had just met and this was a very big project.
We had worked together successfully on 24 previous construction projects.
Over those years, we'd developed what I believed was a strong professional relationship.
There had never been any reason to question their invoices or integrity.
When it came time for another project, I requested a quote, reviewed the scope of work, agreed on a fixed price, and we got started.
Everything appeared normal.
Until the invoices arrived.
The Invoice That Stopped Me
The first invoice landed on my desk, and something immediately felt wrong.
The invoice total was almost equal to the entire quoted contract price.
There was only one problem.
The electrical work was barely halfway complete.
My first thought wasn't that anyone was doing something dishonest.
I honestly assumed there had been a billing error.
By the time the project was complete, the $140,000 electrical quote had $180,000 paid and left $160,000 still owing.
Looking Beyond the Invoice
I compared the invoices against my project records and asked for more documentation. They refused and slapped me with a lawsuit!
Daily site reports.
Construction schedules.
Progress photos.
Access dates.
Emails.
Everything.
The deeper I looked, the more concerning the information became. I was building my case!
According to my documentation, labour hours had been billed before the electrical contractor even had access to the site.
As I continued reviewing payroll information and supporting records, I also discovered that his 14-year-old son had been included on the payroll as billable labour.
When everything was added together, I identified approximately 1,594 labour hours that I believed could not be supported by the documentation.
At that point, I still believed there had to be an explanation.
I Truly Thought We'd Work It Out
Because of our history together, I never imagined this would end in court.
After all, we had completed 24 successful projects together.
Incredibly, we even completed another project together after this dispute had already begun.
That's how confident I was that we'd eventually sit down, review the records, and resolve everything professionally.
I genuinely believed common sense would prevail.
Unfortunately, it didn't.
When Documentation Becomes Your Best Tool
As the disagreement continued, I realized something important.
Memory isn't evidence.
Documentation is.
Instead of relying on conversations or assumptions, I organized every piece of information into a clear timeline.
Every invoice.
Every email.
Every daily log.
Every site photo.
Every project schedule.
The facts began telling their own story.
A Fight Was Never the Goal
No one wants to spend time in court.
Construction should be about creating homes—not preparing legal documents.
But eventually, the matter had to be resolved through the legal system.
It was time-consuming.
It was expensive.
It was frustrating.
But it also reinforced one lesson that has stayed with me ever since.
If it isn't documented, it didn't happen.
The Outcome
When everything was reviewed, I received something that mattered more than simply resolving the financial dispute. I had my moment where I got to basically show a grown man how his organization had failed so badly that his company should be charged with FRAUD!
I received a written letter of apology.
That letter wasn't about proving someone wrong.
It confirmed that standing behind accurate documentation, honest record keeping, and professional accountability was the right decision.
The Birth of Build Planner Pro
Looking back, I'm actually grateful the experience happened.
Without it, Build Planner Pro probably wouldn't exist.
That dispute exposed a problem I realized countless homeowners and builders face.

I've worked with exceptional electricians throughout my career, and most subcontractors are hardworking professionals who take pride in their work.
This experience involved one very large subcontractor and one project.
The lesson isn't about mistrust.
It's about accountability.
Final Thoughts
One difficult experience ultimately became one of the most valuable lessons of my career.
It changed how I managed projects.
It changed how I documented construction.
And ultimately, it inspired the creation of Build Planner Pro and our Trade Tracker.
